Office and Finance Administrator

Ag-West Bio is Saskatchewan’s bioscience industry association and a catalyst for moving research to market and growing biobusiness in the province. We are located at the beautiful Innovation Place research park north of the University of Saskatchewan campus. We are looking for an Office and Finance Administrator to join our team.

Reporting to the CEO, you will contribute to executing Ag-West Bio’s mandate to promote the benefits of bioscience and the growth of the agri-value industry in Saskatchewan.

This role offers a lot of variety, primarily accounting but also office reception, event logistics, and member relations. You will be an essential part of a high-performing team, and this is an excellent opportunity to gain valuable work experience, make connections, and learn more about our industry.

Key responsibilities:

  • Finance assistance:
    • Accounts payable/receivable: Manage invoicing, processing payments, and ensuring timely collection of receivables.
    • Budgeting: Assisting with budgeting, tracking expenses, and ensuring adherence to financial guidelines.
    • Monthly reconciliation: Verifying receipts, expenses and preparing reports.
    • Audit assistance: Contribute to annual audits and work with external auditors.
  • Office assistance:
    • General administrative: reception, scheduling meetings, and organizing files.
    • Documentation: Preparing project financial reports; maintaining accurate and up-to-date records and documentation related to finances and other relevant activities.
    • Correspondence: Handling inquiries and other correspondence via email and phone.
    • Office support: Ensuring the office is supplied, coordinating IT support for staff, onboarding new staff to internal systems, and obtaining office equipment (phone, computers, etc.).
  • Membership support:
    • Maintaining the Customer Relationship Management (CRM) system.
    • Preparing membership renewal invoices and letters.
    • Keeping member contact information up to date
    • Preparing membership status reports using the CRM dashboard
  • Event support:
    • Planning: Participating in event planning meetings with the team
    • Logistics: Ordering supplies, refreshments, sundry items, coordinating rentals, and applying for liquor licenses
    • On-site support: Assisting with setup and tear down; staffing the registration desk, occasionally outside regular working hours.

Qualities and skills we value:

  • You have formal training in finance but are keen to continue learning.
  • You are proficient with QuickBooks or other financial management software.
  • You know Canadian Generally Accepted Accounting Principles (GAAP) for not-for-profit organizations as recommended by the Chartered Professional Accountants of Canada.
  • You are incredibly organized and have experience in office management or event planning.
  • You are self-motivated, flexible and a creative thinker who can establish and prioritize your work.
  • An interest in science, especially agriculture and food, is a plus.
  • Above all, you enjoy helping people and seeing their businesses grow.

Salary range: $50,000 – 65,000 per year
